THE INSTRUCTION MANUAL

One task at a time.

Choose a topic for step-by-step instructions. Save your changes wherever a Save button is shown.

Create and manage events
  1. Tap NEW EVENT. Enter the name and city/state, choose the first and last dates in the calendar, and save. City suggestions are optional; manual entry works too.
  2. Use EVENTS to select the event you want. Check its name before recording sales or expenses. Open Event Details to edit its information and Planned / Active / Completed status.
  3. The Events list offers editing, duplication, archiving, and deletion. Archive an event to keep its records; deletion is different and should be treated as permanent.

Venue, schedule, and saving
  1. From PREP, open EVENT DETAILS. Search for a venue and select the correct result. Check its street address; use SEARCH / OPEN IN GOOGLE MAPS for directions.
  2. Enter the booth/table details and schedule or panel obligations farther down the page. Update event dates in the shared date-range calendar.
  3. Tap SAVE EVENT DETAILS. When leaving with edits, choose Save, Discard, or Keep Editing. Save before force-closing the app; the navigation prompt does not recover lost drafts.

Agents, handlers, and organizers
  1. Open MANAGE AGENT / MANAGER DIRECTORY in Event Details. Add and save your agent’s name, contact information, and standard commission.
  2. Select the responsible agent for the event. Use the optional commission override for a different event-specific percentage, or clear the selection when no agent is assigned.
  3. Enter handler/assistant and organizer/show contacts and save Event Details. Their cards on Prep open the saved contact information. Removing an agent from the directory preserves historical event information.

Contracts and compensation
  1. In CONTRACT & COMPENSATION, select Pending, Signed, or Received. Tap UPLOAD CONTRACT to attach a PDF, DOC, or DOCX from Files. Use Open / Share, Replace, or Remove to manage it.
  2. Enter the sales guarantee and daily per diem, then save Event Details. The guarantee is a sales floor: a promoter top-up covers the shortfall when sales are below it.
  3. Review the Showtime breakdown. Per diem contributes to take-home but is excluded from agent commission.

Flights, hotels, and pickup plans
  1. Under TRAVEL & SHOW LOGISTICS, choose Round Trip or One Way and select your travel dates. Enter each flight’s airline, number, time, and From/To locations.
  2. Tap ADD CONNECTION for connecting flights. Connecting legs keep their own dates.
  3. Choose hotel check-in and check-out dates, search for your hotel, and check its address. Add the reservation confirmation number and any limo/pickup notes. Save Event Details. These records do not make bookings or provide live flight updates.

Mileage and car rentals
  1. Under Auto Travel, enter mileage to and from the event. The total and mileage estimate are shown separately; fuel cost is a reference field.
  2. Under CAR RENTALS, select a company or Other. Enter the reservation number, rental dates, cost, and reimbursement status. Tap ADD ANOTHER TRIP / RENTAL for another reservation.
  3. Attach a receipt if needed and save Event Details. Rental costs automatically appear in expenses and reports; do not enter them again as separate expenses. Removing a rental removes its linked expense when you save.

Rides, addresses, and receipts
  1. Under UBER / LYFT / WAYMO / TAXI, enter the service and From/To locations. In builds with place suggestions, type at least three characters and choose the matching business or address. Manual entry remains available.
  2. Tap USE MY LOCATION for either endpoint and allow location access when prompted. Check the resulting address.
  3. Enter the cost and reimbursement status. Save a receipt from your ride provider to Files, then tap ATTACH RECEIPT (OPTIONAL) to select its PDF or image. Open / Share Receipt lets you view or share it.
  4. Tap ADD RIDE for another trip. Save Event Details to keep the changes. Ride costs automatically appear in expenses and reports.

Checklist, calendar, and one-sheet
  1. On PREP, tap checklist items as you complete them. The readiness percentage updates.
  2. Open Event Details and select CALENDAR → ADD TO PHONE. Follow the calendar and permission prompts.
  3. Select ONE-SHEET → PRINT / SAVE PDF for a portable event summary. Review the contents before sharing, then use your device’s print/save options.

Record sales and configure products
  1. Select the correct event and open SHOWTIME → OPEN BOOTH REGISTER, or Sales in the navigation.
  2. Tap + ITEM to add a product with a name, price, and color. Hold an existing product button to edit it.
  3. Tap what you sold, review the sale options and payment method, and confirm. Use MANUAL / CUSTOM SALE for other sales. If a service-fee option is shown, choose the applicable amount; its preset editor lets you change quick amounts.
  4. Review recent sales and payment-method totals. ExpoGuest records payments; it does not charge cards or transfer money through payment services.

Correct sales and review the ledger
  1. Use UNDO LAST SALE for the latest entry or VIEW FULL LEDGER for an earlier one. Eligible ledger entries can also be edited.
  2. Choose the sale’s remove/void action, enter an optional reason, and confirm VOID SALE. A service fee recorded with the sale is also voided.
  3. Voided sales remain in history and reports but are excluded from totals. This corrects your records; it does not issue a customer refund. Removing a product button is separate from voiding an existing sale.

Expenses and reimbursements
  1. Choose ADD EXPENSE on Showtime, or add an entry from Expenses. Select the type, enter its amount and notes, then save.
  2. Choose Not reimbursed, Pending, or Reimbursed accurately. Pending stays out of pocket. Choose Reimbursed after the full amount has been paid back.
  3. Received reimbursements offset expenses in take-home while the full cost remains visible. Edit rental/ride costs in Event Details; do not duplicate those entries in Expenses.

Business cards, photos, and follow-up
  1. In Showtime’s Connect section, choose SCAN CARD for a card photo or TAKE PHOTO for a shared photo. Allow camera access when asked.
  2. Enter or review the name, company, contact details, category, and notes. Save the connection with the correct event. A card photo is a reference; check the written contact details yourself.
  3. Open VIEW ALL CONNECTIONS to search contacts, filter to this event, and update follow-up status.

Debrief, ratings, and completion
  1. Open WRAP and review take-home, guarantee top-up, fees, and reimbursements. Choose whether you would return and tap COMPLETE DEBRIEF.
  2. Add an overall rating, payment status, feedback, and lessons. Put personal notes in PRIVATE NOTES FOR NEXT TIME. Review any feedback visibility choice.
  3. Tap SAVE & COMPLETE EVENT. Visibility preferences do not publish reviews to this website; a public review directory is not available yet. Full private backups can include your private notes.

Performance and PDF / Excel reports
  1. Tap REPORTS. Select All Time, This Year, Last 12 Months, or a custom date range.
  2. In builds with an individual-event selector, select one event to report on it alone. Clear the selection to return to date filtering. Date ranges use event start dates, not individual sale-entry dates.
  3. Review the included events and totals. Choose PDF or Excel export, then use the device share/save options. Open the exported file and review it before sending.

Share event details
  1. Save your event, then choose SHARE EVENT → REVIEW / EMAIL in Event Details, or select an event through IMPORT / SHARE / ARCHIVED EVENTS.
  2. Choose whether to include venue, promoter contacts, handler contacts, schedule/panel times, or booth assignment. Read the recipient preview.
  3. Enter recipients and select PREPARE EMAIL. Addresses are placed in Bcc; review and send the draft in your email app. Alternatively, choose SAVE / SHARE EVENT FILE.
  4. Shared event files exclude personal travel, finances, contracts, receipts, connections, and private feedback. They create independent copies; later changes do not automatically update recipients.

Import an event
  1. Save the emailed .expoguest attachment to Files.
  2. Open IMPORT / SHARE / ARCHIVED EVENTS → IMPORT EVENT and select the file. Review the package summary and any duplicate warning.
  3. Confirm the import and check the resulting event. Imports create another copy; they do not merge with or replace an existing event. Direct opening from an email attachment is not currently supported.

Private backups and archived events
  1. Open IMPORT / SHARE / ARCHIVED EVENTS, find your event, and choose FULL PRIVATE BACKUP. Save the file somewhere accessible independently of the app.
  2. Full backups contain private records and attachments and are not encrypted. Use Share Event when another person only needs event arrangements. Current limits are 25 MB of attachments and 40 MB for the complete file.
  3. Restore a backup using Import Event. To restore an archived event already in the app, choose ARCHIVED, find the event, and tap RESTORE EVENT. Archiving keeps records but does not create a separate backup.

COMMON QUESTIONS

A little clarity.

Is ExpoGuest available yet?

ExpoGuest is in final testing. Request an announcement through the launch-interest section. Existing testers should use their TestFlight or Android installation link.

Do I need an internet connection?

Core records are stored on your device. Place search, maps, email delivery, and this help page need a connection. You can enter addresses manually when search is unavailable.

Where is my data stored?

The current app stores records locally, with no automatic cloud sync between devices. Export full private backups before changing phones or uninstalling.

How is take-home calculated?

Sales plus any guarantee shortfall top-up and per diem, minus expenses and agent commission, plus reimbursements received. Per diem is not commissionable. A $1,500 guarantee, $150 total per diem, 15% commission, and no sales or expenses gives $1,425 estimated take-home.

Why does a pending reimbursement still count as an expense?

You have not received that money yet. Mark it Reimbursed after the full amount is paid back; the repayment then offsets the expense in take-home.

Why is a feature missing from my app?

Your installed tester build may be older than this guide. Update using TestFlight or your latest Android install link. The Help & Support button requires a build containing that change; this page is always accessible directly.

Place search or current location is not working.

Check your connection and try adding a city to the search. For current location, check ExpoGuest’s location permission in phone settings. Manual entry remains available.

A receipt or contract will not attach.

Save and download the file in Files first. Receipts accept PDFs or images; contracts accept PDF, DOC, or DOCX. If the app says its file picker needs an updated build, install the latest tester build. Save Event Details after attaching.

Does sharing update the whole group?

No. Recipients import independent event copies. Live group updates and connected agent tools are planned for a future version.

Are my feedback and ratings public?

There is no public review feed yet. Visibility preferences are stored for future connected features. Full private backups may contain private notes.

Does the website automatically sign me up?

The interest button opens an email draft. Review and send it to request a launch announcement; filling in the fields alone does not send it.

Should I reinstall to fix a problem?

Contact support first if you have saved events. Uninstalling can remove local data. Export a full private backup before troubleshooting that could remove records.
